Designed to be used in conjunction with Free2Convey or as a standalone product, Docs4Home is an online tool that enables lawyers, estate agents, clients and lenders to upload, share and collaborate, in real time, on documentation relating to conveyancing transactions. It’s the online equivalent of getting all the parties involved in a chain around a meeting room table, enabling them to come together ‘virtually’ to collaborate on documents so that progress can be made swiftly and securely.
Docs4Home users can log in online from wherever they are in the world to create folders at the touch of a button. Documents are uploaded either at the click of a button or simply “dragged and dropped” into the relevant folder. Docs4Home also provides an embedded link in the footer of emails so that the recipient may click the link and securely upload documents directly into the sender’s Docs4Home account. Docs4Home offers two-factor authentication – essentially two layers of security – on each and every login, providing peace of mind that all conveyancing documentation is accessed and shared in a highly secure environment without the need for distribution. All data is held on UK datacenters and nothing leaves the UK, in line with the Solicitors’ Regulation Authority requirements. This allows all parties in a conveyance to share data and communicate more securely than other means such as email, which is susceptible to fraudulent activity and is less secure.
Two-factor authentication is required at each log-in and permissions can be set as read/write on documents. Permissions can be altered and withdrawn and documents can be “closed” for access or removed altogether. Documents cannot be forwarded “into the ether” like emails.
One central version of documents accessed by all parties removes issues of version control. For greater efficiency, documents are always available to all parties without the need to distribute and receive them. Full version control history is attached to each document for audit and reference.
